Terms and Conditions

 

1. Definitions

 

For the purposes of these Terms and Conditions:

  • “Company”, “we”, “us”, “our” refers to HPT Executive Chauffeurs.
  • “Services” refers to all chauffeur and executive transport services provided by the Company, including airport transfers, corporate chauffeur services, VIP transport, event travel, match day transfers, wedding transport and private hire.
  • “Vehicle” refers to any chauffeur driven vehicle supplied for a confirmed booking.
  • “Journey” refers to the agreed transfer between confirmed collection and destination locations.
  • “Client”, “you”, “your” refers to the individual or organisation making the booking and any passengers travelling under that booking.
  • “Luggage” refers to personal belongings transported within the Vehicle.

All Services are provided strictly in accordance with these Terms and Conditions.

2. Bookings and Confirmation

 

All bookings must be confirmed in writing by email or electronic confirmation.

It is the Client’s responsibility to ensure that all booking details are accurate and complete, including collection and destination addresses, passenger numbers, contact details and flight information where applicable.

No booking shall be deemed confirmed until written confirmation has been issued by the Company.

The Company accepts no liability for delays, missed connections or additional costs arising from inaccurate or incomplete information supplied at the time of booking.

 

3. Airport Transfers

 

Where flight information is provided, scheduled arrival times will be monitored.

Whilst every reasonable effort is made to ensure punctual collection, the Company cannot be held responsible for delays arising from airline schedule changes, air traffic control restrictions, immigration procedures, baggage reclaim delays, customs clearance or airport operational matters beyond our reasonable control.

Waiting time beyond any agreed complimentary period will be chargeable.

 

4. Events and High Demand Services

 

For concerts, exhibitions, sporting fixtures, match days, award ceremonies, weddings and other major public events, travel conditions may be affected by traffic congestion, road closures or security restrictions.

The Company will plan routes and timings with due care and professional diligence. However, arrival times cannot be guaranteed where circumstances are outside our reasonable control. Clients are advised to allow appropriate contingency time.

 

5. Corporate and VIP Services


HPT Executive Chauffeurs provides a discreet, professional and confidential service for corporate and VIP clients.

It is the Client’s responsibility to communicate itinerary updates or schedule amendments promptly. Extended waiting time, additional mileage or extended hire duration may result in supplementary charges.

The Company maintains strict standards of professionalism, presentation and confidentiality at all times.

 

6. Passenger Conduct

 

Passengers are expected to conduct themselves in a respectful, lawful and responsible manner.

The Company reserves the right to terminate a Journey without refund where a passenger:

  • Engages in abusive, threatening or disruptive behaviour
  • Is intoxicated to a degree that compromises safety
  • Causes damage to the Vehicle
  • Endangers the chauffeur or other road users
  • Engages in unlawful activity
  • Smokes or consumes prohibited substances within the Vehicle

The Client shall be liable for all costs relating to cleaning, repair, damage or loss resulting from passenger misconduct.

 

7. Luggage

 

The Client must ensure that luggage quantities are suitable for the Vehicle reserved.

Oversized, excessive or specialist items must be declared at the time of booking to ensure appropriate vehicle allocation.

All luggage is carried at the owner’s risk. The Company accepts no liability for fragile, valuable or perishable items transported within the Vehicle.

 

8. Weddings and Private Engagements

 

For weddings and private occasions, the Client is responsible for providing accurate timings, venue access details and scheduling requirements.

The Company shall not be liable for delays resulting from third party suppliers, venue restrictions, traffic conditions or other circumstances beyond our reasonable control.

 

9. Cancellations and Amendments

 

Cancellation terms will be confirmed at the time of booking.

Unless otherwise agreed in writing:

  • Cancellations within 24 hours of the scheduled Journey may be charged in full
  • Failure to attend at the agreed collection time and location will be treated as a no show and charged in full

Amendments are subject to availability and may incur additional charges.

 

10. Lost Property

 

Passengers are responsible for ensuring that all personal belongings are removed from the Vehicle at the conclusion of the Journey.

Whilst reasonable efforts will be made to assist in the recovery of lost items, the Company accepts no liability for property left in the Vehicle. Recovered items may be retained for a reasonable period.

 

11. Subcontracted Services

 

The Company reserves the right to fulfil bookings using approved, licensed and fully insured chauffeur partners where operationally necessary.

All subcontracted partners are required to uphold professional standards consistent with those of HPT Executive Chauffeurs.

 

12. Circumstances Beyond Our Control

 

The Company shall not be liable for any delay, cancellation or failure to perform Services arising from events beyond its reasonable control, including but not limited to severe weather, accidents, road closures, mechanical breakdowns, governmental restrictions, industrial action or force majeure.

 

13. Limitation of Liability

 

The Company’s total liability in respect of any claim shall not exceed the value of the booking to which the claim relates.

The Company shall not be liable for indirect or consequential losses, including but not limited to missed flights, missed events, business interruption or financial loss.

 

14. Governing Law

 

These Terms and Conditions are governed by the laws of England and Wales.

Any dispute arising from or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
